Essay / ADVANTAGES OF COMPUTER FILING SYSTEM - 843
What is a filing system? Filing system is a process of classifying, classifying, storing, controlling and indexing files with the aim of retrieving them when necessary. The filing system is used to keep documents organized and used for easy retrieval. Today, many filing systems are computerized. The computerized filing system is beneficial because it has many advantages for the organization. However, this also has disadvantages, but I still think it is beneficial. First, the computerized filing system has the advantage of speed over a manual filing system. This is because it can access files easily and provide the necessary files immediately. Compared to manual filing system, employees have to check files and access pages one by one and it takes time to retrieve them. By using the computerized filing system, employees can save time because they simply open the system and enter the file name for the computer to find it. Therefore, the computerized filing system is faster in retrieving files than the manual filing system. It is also beneficial in terms of speed, as it can be seen and shared by others. For example, another staff member can use the system to enter any data while the other can use it to search for any record using a different computer at the same time. So it doesn't affect other people's time to do their work. Secondly, the computerized filing system can also help the organization save space. A manual filing system requires a lot of space because it needs space to store a lot of data, information, and records manually. So, a computerized filing system can help the organization save space as it can store records virtually. At the same time, it can reduce costs because they do not need files, cabinets and boxes... middle of paper ...... reputation of the organization. So, the organization should solve this problem by sending its staff to the seminar or workshop to learn more about the necessary skills. The organization should also test the IT skills of those who want to apply for the position in their organization. The staff must be expert so that all the work goes smoothly. In conclusion, the computerized filing system is very beneficial, although it has disadvantages. The computerized filing system is fast, can save space, help the organization organize its records and improve its services. Although it has drawbacks, it can be solved. So, it should be used by the organization because it can help improve the organization itself and have many benefits. Works Cited Wilson, PI (1994).
